Use the Save View Feature for Reports in TallyPrime

The Save View feature in TallyPrime lets you save your preferred report settings, so you can instantly access reports with the latest data without reconfiguring them each time. You can save multiple views of the same report for different purposes based on your business needs and manage user access to these saved views as required.

Save View of a Report

  1. Press Alt+G (Go To) and open any report, say Ledger Outstandings.
  2. Configure the report, as needed. For example,
    • To view the report for a specific period, press F2 (Period) and update the To and From dates.
    • To view post-dated transactions in the report, press Ctrl+B (Basis of Values) > Include Post-dated Vouchers Yes.
  3. Press Ctrl+L (Save View) to save the report with the specific configurations.

  4. Name: TallyPrime automatically prefills Name with the report name. For example, Ledger Outstandings – My View. Change the name as per your requirement, if needed.

  5. To open the saved report view by default when you open Ledger Outstandings next time, enable Set this as default view for the report.
    You can switch to the original report using Ctrl+H (Change View) > Show Original View.

  6. Enable Show additional configuration, if needed.

    1. Set Save view for, as applicable.

      • All Companies (On This Computer): To save the view in the current TallyPrime folder, so that you can access it from other companies loaded in the same application.

      • This Company: To save a view at the company level, so that users across different computers can also access the view.

    2. Enable Save with the master selected to open the report. It automatically opens the report with the same master next time.
      This option is not applicable for reports, such as Balance Sheet, Day Book.

    3. To always open the report for the configured period, enable Save with the selected period.

  7. Press Ctrl+A to save.

Open Saved Views

  1. Press Alt+G (Go To), select the view you have created, and press Enter.

  2. Open the report for which you have saved a view, press Ctrl+H (Change View), and select the view under Saved Views.

Set/Alter Default Views

  1. Open the report for which you have saved a view, say Ledger Outstandings, press Ctrl+H (Change View) > Set/Alter Default View and press Enter.
  2. Under List of Saved Views, set or remove a saved view as default.
    • To set one of the saved views as default, select a view and press Enter.
    • To remove a saved view as default, select the current default view from the list and press Enter.

Alter Details of a Saved View

  1. Open a report for which you have already set a default view, say Ledger Outstandings.
  2. Press Ctrl+L (Save View) > update the Name of the report and press Ctrl+A to save.

Delete Saved Views

In TallyPrime, you can either delete a saved view of a specific report or delete all saved views that are no longer needed.

Delete Saved View of a Report

  1. Open the required report, say Ledger Outstandings > Ctrl+H (Change View) > Delete Saved Views.
  2. Select the view that you want to delete under All Companies or This Company and press Enter.
  3. Press Enter or Y to confirm deletion.

Delete All Saved Views

  1. Press F1 (Help) > Troubleshooting.
  2. Select the options based on the views you want to delete.
    1. APPLICATION > Delete Views Saved for All Companies.
    2. COMPANY DATA > Delete Views Saved for This Company.
      In this case, select the required company from the List of Companies.
  3. Press Enter or Y to confirm deletion.

Question & Answers

  1. Why am I unable to open a saved view in a report?
    You will not be able to open a saved view, if none of the companies used while saving the view are currently loaded. Instead, the report will open in its original (default) view. Load the required companies that were originally used to create the saved view and then try opening the view again.
  2. Why does the saved view open only for some companies?
    If one or more companies used while saving the view are not loaded, the view will open only for the companies that are currently loaded. You need to load all the companies used in the saved view to see the complete report as intended.
