TallyPrime provides the flexibility to back up and restore data securely using TallyDrive or the local drive, along with the convenience of scheduling auto backups.

Schedule Backup
Now schedule backups to your local system or to TallyDrive, and let TallyPrime handle taking backup automatically for you. Based on the frequency of the backup – daily, weekly, fortnightly, or monthly – TallyPrime will run the process and store the backup at the selected backup destination.

Take backups to TallyDrive or local drive manually.

Schedule Backup Report
The Schedule Backup report in TallyPrime is your central dashboard for monitoring and managing all backup schedules across companies. It displays key details such as the company name, backup path, frequency, last and next backup date and time, and the current status of each schedule. This helps ensure that all your company backups are running on time and without interruptions.
From this report, you can create, alter, pause, or delete schedules, take immediate backups, and view detailed backup logs. It also allows you to identify pending or failed schedules that require action, ensuring that data safety tasks are always up to date.
TallyDrive – Secure Cloud Storage
TallyDrive is a cloud-based storage solution that ensures your business data is encrypted and protected all the time, independent of local storage devices. Your backup on TallyDrive is safe even during system failures or data loss.
Accessing TallyDrive
To access TallyDrive, all you need is to enable the Tally.NET ID for TallyDrive services, and login.
As an administrator, you can approve access to TallyDrive services from the Tally Solutions Customer Portal, or by entering the required Tally.NET ID directly in TallyPrime to initiate and complete the approval.
As a standard user, you can initiate and send approval request to administrator while taking or scheduling backup to TallyDrive.
Once approved, users can access TallyDrive based on the assigned rights, ensuring only verified users under the license can operate securely. On your first login, you will prompted to Accept the Terms & Conditions, which is a one-time activity for each Tally.NET ID.
Enhanced Backup Security
While taking or scheduling backups on TallyDrive, add an extra layer of protection by adding a Backup Password for your backup files. During restoration, TallyPrime will prompt for the same password.
TallyPrime provides additional support by sending a Recovery Key to your Tally.NET ID. You can add additional email addresses to receive the recovery key. Use this key to restore backups if you forget the original password.
Managing Backups & Storage Space on TallyDrive
The TallyDrive Management Report gives you a centralized comprehensive view to manage all your backups stored on TallyDrive. You can

- Download or Delete Backups
- Extend Storage
- Switch Between Licenses
In case your business manages multiple branches or clients, and your Tally.NET ID is linked to multiple licenses, switching between the licenses is seamlessly. You can manage backups across multiple licenses without the need to log in or log out every time.
Additionally, the report facilitates complete management of your TallyDrive storage – allowing better control of the company backups.
TallyDrive Storage Capacity
TallyDrive storage capacity is assigned, depending on the type of license, Silver or Gold. TallyPrime alerts via e-mail and notification you when your TallyDrive storage reaches 80% capacity. If storage is full, you can:
- Extend TallyDrive storage for a nominal price. Purchase additional storage space on TallyDrive through the Tally Solutions Customer Portal.
- Download backups from TallyDrive to your local system or delete unwanted backups.
- Only users with delete rights can perform this action.
- Once deleted, backups cannot be recovered.

Best Practices for Scheduling Backup

Keep your system on during the scheduled backup time.

It is recommended to maintain two schedules, one backing up to TallyDrive and another to a local drive, to ensure data availability and quick recovery options.

Choose a low-activity time when data operations are least likely to occur, as when a backup is in progress, users cannot perform data entry or operations on the company data.

If multiple schedules are configured, set them at slightly different times to avoid parallel execution, ensuring optimal memory usage, and prevent system slowdown.

Avoid running more than three scheduled tasks at the same time.

Use incremental backup for daily runs, for optimized storage utilization.
Best Practices for Scheduling Backups on TallyPrime Server

Install TallyPrime on the same machine as TPS to ensure reliable and timely scheduling.

Best Practices for using TallyDrive
To ensure continued access and data integrity while using TallyDrive, follow these best practices:

Keep your Tally.NET credentials up to date. Reset your password if it has been compromised or shared across multiple users.

Manage user access regularly as the license administrator. Review which Tally.NET users have permission to back up, restore, download, or delete data from TallyDrive.

Grant access based on role and responsibility. Limit backup, restore, and delete rights to trusted users only.

Periodically audit user permissions. Remove access for inactive or unverified users to prevent unauthorized operations.

When taking a backup to TallyDrive, enable Backup Password if needed. This encrypts the backup and ensures it can be restored only by the user who knows the password.

Ensure the Recovery Key e-mail is received in the registered inbox. Check the spam folder if not found, and mark the sender as safe. Provide the recovery email ID only of trusted users.

Reset or change the Backup Password if the password or recovery key is suspected to be compromised.

Renew TSS on time to avoid backup failures and data loss, as if TSS expires, new backups will stop, and existing backups will be accessible only for 90 days before being permanently deleted.

Monitor renewal reminders and notifications to ensure uninterrupted access to TallyDrive backups.
Best Practices for Data Restoration

Check the Restore Data Path before restoring. Ensure no existing company folder with the same name is present to avoid accidental overwrites.

Use Replace only when fully certain. Selecting Replace permanently deletes the existing data and cannot be recovered.

Choose Skip in case of a doubt and then restore the backup to a new, empty folder to avoid data loss.
