Sales Order Summary statement gives detailed information on outstanding sales orders. The outstanding orders can be viewed Stock Group wise, Stock Category wise, Stock Item wise, account Group wise, Ledger wise or All Orders .
To view Sales Order Outstandings
● Go to Gateway of Tally > Display > Statements of Inventory > Sales Order Outstandings .
This report displays the Sales Order Outstandings summary of all or a selected Stock Group .
To view Sales Order Stock Group outstanding summary
1. Go to Gateway of Tally > Display > Statements of Inventory > Sales Order Outstandings > Stock Group .
Select the Primary or the required Stock Group from the List of Groups . The Sales Order Stock Group Outstandings screen appears as shown below:
Drilling down from a selected Stock Group displays the Sales Order Outstanding of Stock Items .
This report displays the Sales Order Outstandings summary of a selected Stock Item .
To view Sales Order Stock Item outstanding summary
1. Go to Gateway of Tally > Display > Statements of Inventory > Sales Order Outstandings > Stock Item .
2. Select the required Stock Item from the List of Stock Items . The Sales Order Stock Item Outstandings screen appears as shown below:
Drilling down from a selected Stock Item displays the order detail screen which provides information on the order number, date of order, party, quantity, undelivered order, rate, value of ordered stock, due date for delivering the goods and the number of days overdue.
The Order Details screen appears as shown below:
This report displays the Sales Order Outstanding summary of a selected Group .
To view Sales Order Group outstanding summary
1. Go to Gateway of Tally > Display > Statements of Inventory > Sales Order Outstandings > Group.
2. Select the required Group from the List of Groups (for example, Sundry Debtors). The Sales Order Group Outstandings screen appears as shown below:
3. Select the required Stock Item to view the Order Details .
This report displays the Sales Order Outstanding summary of a selected Ledger .
To view Sales Order Ledger outstanding summary
1. Go to Gateway of Tally > Display > Statements of Inventory > Sales Order Outstandings > Ledger
2. Select the required Ledger from the List of Ledgers (for example, Customer B). The Sales Order Ledger Outstandings screen appears as shown:
3. Select the required Stock Item to view the Order Details .
The Sales Order Stock Group Outstandings , Sales Order Stock Category Outstandings , Sales Order Stock Item Outstandings , Sales Order Group Outstandings and Sales Order Ledger Outstandings screens can be configured using the F12: Configure button, as shown:
● Show Opening Orders : By default this option is set to No . If set to Yes - Tally.ERP 9 displays the opening orders for the given period.
● Show Orders Booked : By default this option is set to No . If set to Yes - Tally.ERP 9 displays the orders books during the during the selected period.
● Show Cleared Orders : By default this option is set to No . If set to Yes - Tally.ERP 9 displays the orders which have been cleared during the selected period.
● Show Pending Orders : By default this option is set to Yes . Tally.ERP 9 displays the orders which are pending for the given period.
The Sales Order Stock Outstandings report of a selected Item with the options Show Opening Orders , Show Orders Booked , Show Cleared Orders and Show Pending Orders enabled, for a given period appears as shown below:
This report displays the Sales Order Outstanding of all the orders which are pending. It provides information on the order number, date of order, party, ordered Quantity, undelivered order, rate, value of ordered stock, due date for delivering the goods and the number of days overdue. It also provides information on goods delivered but orders not received.
To view All Orders
1. Go to Gateway of Tally > Display > Statements of Inventory > Sales Order Outstandings > All Orders .
The Order Details screen appears as shown:
2. Click F1 :Detailed or press Alt + F1 to view Sales Order entry details.
3. Click F7: Due Only or press F7 to view Due Only orders.
Note: This button toggles between All Orders and Due Only .
4. Click F6 : Age wise or press Alt + F6 to view Age wise analysis report.
5. Click Ctrl+C: Pre-Close the Sales Order.
The Order Details screen can be configured using the F12: Configure button.
● Go to Gateway of Tally > Display > Statement of Inventory > Sales Order Outstandings > All Orders .
To view the pre-closed quantity and reason for pre-close, press F12: Configure button and set the following options to Yes :
o Show Pre-Closure order details - On enabling this options, an additional column - Pre-Closed Qty (Closed on) will be displayed. In this column, the details of pre-closed quantity with the date gets captured.
o Show Reason - On enabling this option, the reason entered in the Reason for Pre-Close field gets displayed in this report.
o Show Pre-Closed orders only - On enabling this option, only the orders which are pre-closed will be displayed.
The Order Details screen displays as shown:
After recording a sales order, the same can be closed from Order Details screen. In the Order Details screen, select the required order (press space bar to select) which need to be pre-closed. Click on Pre-Close button to view the report in edit mode.
● Enter the quantity in Pre-Close Quantity column and accept the screen.
In the Order Details screen, click on Pre-Close button.
In the editable screen, click on Set All Quantity button (Alt+S). The balance quantity will be displayed under pre-close quantity column. Accept or modify the quantity and accept the screen.
Now user can analyse the Order Details report Ageing wise, based on Bill date or Due date.
● Select F6: Age wise from the button bar in the Order Details screen.
● Select either the option Ageing by Bill Date or Ageing by Due Date for Methods of Ageing.
● Set the age periods required for the report.
Age-wise Analysis report will be displayed as shown below:
Note: You will get the option for Sales Order Outstandings only if you have activated the option Enable sales order processing under Order Processing in F11: Inventory Features .
